Automotive Design Project Coordinator

Technicon Design Sweden is seeking a highly organised and proactive Design Project Coordinator to support the Design Project Leaders for our clients. The role focuses on planning, coordination, and operational project management within a fast‑paced automotive design environment.
Role Overview
As a Design Project Coordinator, you will play a key role in enabling the successful delivery of design projects across multiple vehicle programs. You will support Design Project Leaders by coordinating design tasks, tracking deliverables, maintaining project tools and documentation, and ensuring that actions, resources and costs are managed according to process and plan.

Key Responsibilities
Project Coordination & Planning
- Support Design Project Leaders in the day‑to‑day management of design projects.
- Coordinate and plan design actions and deliverables according to defined product development processes, timing plans, logic plans, and budgets.
- Maintain control of project actuals, including hours and model costs.
- Manage and update project resource files and the Resource Master File, including forecasts.
Follow‑Up & Reporting
- Track and consolidate project activities, deliverables, and status updates.
- Prepare inputs for project gates, milestones, and reviews.
- Manage Level 2 timing plans for each design project, based on the Vehicle Program Plan (VPP), including short‑ to mid‑term physical model planning.
- Consolidate a complete overview of all deliveries within the Design Project Timing Portfolio.
Operational & Administrative Support
- Create and maintain project sites in collaboration platforms (e.g., SharePoint).
- Schedule meetings, send invitations, and produce clear and accurate meeting minutes.
- Prepare documentation and presentations for design project meetings and reviews.
- Provide additional operational support as required, including assisting the Head of Design PMO with project governance tasks.
Qualifications & Experience
- Minimum 3 years’ experience in a support, coordination, or administrative role within an office environment; automotive experience strongly preferred.
- Strong computer proficiency, especially in:
- Microsoft Project
- Excel
- PowerPoint
- SharePoint
- Teams
- (SAP experience is a plus)
- Good understanding of design studio principles, workflows, and procedures.
- Ability to translate business and design requirements into structured project plans.
- Creative mindset with the ability to identify and highlight efficiency opportunities.
